The use of A V Equipment on stands is subject to the following conditions:
A The film is of non-flammable material
B The Cabinet and any adjacent structure is of non-flammable materials and conform to local fire authority regulations.
C That the sound levels shall not interfere with neighbouring stands. The Organizers reserve the right to demand the lowering of sound levels or the curtailment of tapes being used.
Exhibitors are required to wear their issued badges at all times; one will be allocated to each stand representative on arrival. Any additional badges required will be issued on the stand for each person nominated.
There are public car parking facilities below the Kensington Town Hall.
A small cafeteria and bar offering refreshments will be open during the period of the Exhibition.
A cleaning service charge of £40 for all Exhibitors is necessary and will include a daily vacuum cleaning of carpets and removal of rubbish.
If Exhibitors wish to employ the services of contractors to supply any services which are not provided within the terms of the contract agreement, exhibitors should note that there are no circumstances (even where sole contractors have been appointed) under which the Organizers can either become contractually bound to an exhibitor or be regarded as a principal or agent in relation to any legal commitment into which an exhibitor may have entered with a contractor. (Any exhibitor using an outside contractor must advise the Organizers, for security reasons.)
Vehicles for the Exhibition can be unloaded at the special entrance of the Kensington Town Hall, one vehicle at a time. As soon as unloading has taken place, vehicles must be removed. The Organizers cannot accept any responsibility for any illegal parking or breaking of any rules and regulations. Any fines imposed will be the responsibility of the exhibitor concerned.
General lighting throughout the Hall is provided by the Organizers. Display lighting and power required by exhibitors must be ordered from the sole official contractor and no other electricians are permitted to work in the hall. Regulations governing electrical installations will be strictly enforced and exhibitors who bring their own lighting or illuminated display cabinets must have them checked by the official contractor to ensure that they comply in all respects. An order form for the provision of supplies to individual requirements is enclosed.
Fire extinguishers will be supplied at fire points by the Organizers. We recommend that exhibitors either hire or supply their own additional extinguishers which conform with fire regulations.
An order form and details of furniture are available on the web site. Exhibitors may bring their own furniture if required. The Kensington Town Hall Exhibition hall is fully carpeted.
Gangways must be kept clear of exhibits and other items at all times.
While every reasonable precaution will be taken by the Organizers and the premises will be patrolled, the Organizers expressly decline any responsibility for any loss or damage that may befall the person or property of the exhibitor from any source whatsoever. The exhibitor must therefore effect insurance cover in respect of:
A Exhibits and contents of stand
B Interior stand construction
C Public Liability
D Third party risk
E Expenses incurred due to the abandonment of the Exhibition
F Goods whilst in transit
Exhibitors are asked to run machinery/A V equipment, music etc., with regard to other exhibitors and with the ambience of the exhibition. The Organizers reserve the right to curtail or ban exhibits if complaints are received.
The Organizers can be contacted in the Reception area at the entrance to the exhibition or in the Organizers' office.
Payment for all stand space should be made payable to IMPA.
Payment for all extras, including stand furniture, electrics, lunch tickets and conference passes should be made payable to the appointed organizers SA Maritime. Invoices will be sent to cover all payments due.
The use of dangerous materials is expressly forbidden. The following are prohibited:
Open fires, gas propane, argon, butane, ammonia, oil, light oil, cylinder oil, developer for copying machine, cleanser and flammable liquids of any description. Where any of the above are required for exhibiting purposes, the exhibitor must seek full written consent from the Organizers 4 weeks in advance of the Exhibition.
The organizers provide general security within the hall, but are unable to guarantee exhibitors individual security on stands. Individual stand holders are responsible for the security of their property and their individual stands. No responsibility will be accepted by the Organizers.
Smoking is strictly prohibited within the Exhibition and Conference Centre.
Exhibition Stands will be built by the Contractor on 14th September and work will be completed by 14.00 hrs. Exhibitors can gain entrance between 14.30 to 20.00 hrs on the 14th September, by which time the hall must be cleared. All stands must be completed by 09.00 hrs on 15th September for the opening of the Exhibition at 10.00hrs
Exhibitors may remove stand displays from 16.30 hrs onwards on 16th September, and not before. Exhibition stands will be removed by the Contractors as soon as possible after the Exhibition vacation.
Fire regulations prohibit the storage of empty crates, boxes, cartons, packing materials either on the stands or behind them. These should therefore be stored off site and are the responsibility of the Exhibitor.
All work carries out in connection with the Exhibition will be strictly in accordance with the terms and conditions of employment by our Contractors and the appropriate working rule agreements currently operative in the exhibition industry. Exhibitors may only undertake construction work as far as setting-up exhibits and 'interiors' which consists of panels requiring no tools. All other work must be entrusted to a Contractor with appropriate Union Labour or by a Contractor that is approved by the Organizers.
